HERE’S A QUICK GUIDE TO HELP YOU WITH THE FEATURES OF OUR TELEPHONE SYSTEM.
 
TO SET A PERSONAL PASSWORD FOR THE FIRST TIME

ROM YOUR PHONE AT WORK:
Press the “phonemail” key or dial 5400 on your phone and, when prompted for a password, use 111.#  You will be told that this is an unsecure password, and will be prompted to initiate your own secured password by entering from four to sixteen digits of your choice.

By continuing to follow the voice prompts from there you will be able to record your own personal greeting etc.

You’ll select option #8 (change answering options)

Once you’ve gotten into answering options you’ll be able to record 2 regular messages (one for when you’re on the phone and one for when you’re away from your desk).

You’ll also be able to record an alternate message (one that you might engage if you’ll be out of the office for a few days, or want to record something other than your standard message). You’ll also hear a prompt for choosing which message should be used (regular or alternate).  

FROM YOUR PHONE AT HOME: Dial 718-489-5400 and follow the instructions above.

****NOTE – you can also change your outgoing message from home, should you find you’ll be out for several days and would like to leave a message to that effect. Simply follow the same prompts as above by selecting option 8 and then following the prompts.  

TRANSFERRING A CALL FROM THE:

ASIC HANDSET: 
To Transfer a call from the basic handset, press the “transfer (xfer)” key. Follow the steps below:

DVANCED HANDSET WITH DISPLAY:
During the call, when the display reads “Start transfer”, hit the check key on the bottom of your handset, and follow the steps below:  

STEPS:

  • Dial the extension you wish to transfer to (or dial 9 and the outside number you want).
  • If you wish, announce the caller when the party answers and hang up, or just simply hang up.
  • ****If you mistakenly dial the wrong extension, you can reconnect with the caller by pressing the “connect” (CNCT) key.
USING YOUR PIN # TO MAKE A LONG DISTANCE PHONE CALL:
Begin your call by dialing * # 57, and your four digit PIN number. After you hear the four quick beeps, dial 9 (as you would for any outside call), then 1, the area code and the telephone number.
 
ACCESSING PHONE MAIL:
  • From your office phone – If the red light next to the “phonemail” button is lit, simply press the button and wait for the voice prompts…take it from there.
  • From another phone in the College – dial extension 5400. The voice prompts will ask you to enter your extension and then your password. Follow the voice prompts from there.
  • From Home: Dial 718-489-5400, the voice prompts will ask you to enter your extension and then your password. Follow the prompts and take it from there!
TO TRANSFER DIRECTLY TO YOUR PHONE MAIL WHILE YOU’RE OUT OR BUSY:
Should you be out of the office and want to spare your coworkers’ time listening to your phone ring OR/ you’re busy and would prefer that your voicemail pick up so you’re not disturbed.
  • Get a dial tone
  • Press your extension, then # 91, then 105400, then hang up.
  • You will see your extension number flashing and that means it worked.
  • When you return, get a dial tone then # # 91 and that will cancel it. 
TRANSFERRING A CALL DIRECTLY INTO SOMEONE’S VOICEMAIL:
To transfer a party calling on YOUR extension to someone else’s voicemail in the college:

ASIC HANDSET  - Press the transfer(xfer) key, Dial 105400 and wait for the voice prompts.

ADVANCED HANDSET - press the check button when the display reads “Start transfer?”

Dial 105400 and wait for the voice prompts, Dial the desired telephone extension number with the # key and hang up..

LEAVING A VOICEMAIL MESSAGE WITHOUT RINGING A COWORKER’S PHONE
:

Dial extension 5777, then wait for the voice prompts.
 
CONFERENCE CALLING
 
BASIC HANDSET:

          • While you’ve got the caller on the line, hit the “transfer(xfer)” button, which will put the caller on hold.

          • You will then hear a tone, followed by the dial tone.

          • Dial the extension you want to conference with, or 9 plus the outside number.

          • Once the party you called has answered, simply hit the “transfer (xfer)” button. All parties will be connected.
 
ADVANCED HANDSET WITH DISPLAY:
While on the call, scroll through the prompts on your display (using the arrow at the bottom of your handset), and press the check button when the display reads “Start Conference?”

Dial the extension you want to add, or 9 and an outside number.

After your party has answered, press the check   button when the display reads “Conference?” 
 
WHAT’S THE “CONNECT” BUTTON?
  • The connect button will allow you to:Reconnect with a call you’ve placed on hold.
  • Reconnect with a call you were transferring, BEFORE the transfer is complete.
  • Reconnect to a conference call, when the third party called isn’t joining in the conference.
GROUP PICKUP:
If you’ve got several extensions in the same office, and wish to pick up a phone ringing at another person’s extension (not currently listed on your phone), simply hit the “pick” button twice and you will be connected to the incoming call. (**If you have an advanced handset and the extra console, then you have a button next to each extension number in that office. You are able to answer any extension in that office as it lights up by pressing the button next to that extension, and you need not use the “pick” button)
If you want to answer a call on hold, or on someone else’s extension, hit “pick” once and then dial the extension where the call is currently on hold.

WHERE’S THE “HOOK”?
Since there is no “hook” as we know it to be on a regular phone, you can get a dial tone by pressing the button next to your extension number.
 
If you have concluded a call, and wish to make another, simply press this button to disconnect from that call and to get another dial tone
